Welcome to TT Stars. We respect your privacy and are committed to protecting the personal data you share with us while using our table-tennis platform (the “App”, “Service” or “TT Stars”). This Privacy Policy explains what information we collect, how we use it, when we share it, and your choices and rights. By using TT Stars you agree to the practices described below.

1. Quick summary

  • We collect information you give us (name, email, photos, payment details), data about how you use the app (matches, scores, video streams, analytics), device/technical data, and — when you allow it — precise location for tournament venue features.
  • We use the data to run the app — register players, manage academies and tournaments, stream video, analyze play, process payments, set venue locations on a map, and (when enabled) verify venue check-in.
  • We may share data with service providers (payment processors, streaming hosts, map/places providers such as Google, and Google Analytics 4 for product analytics), and with your consent for social features.
  • If an academy records your face for attendance, we store a face photo thumbnail and a numerical face template on your user profile. We use it only to recognize you for academy attendance. We do not sell it, use it for advertising, or use it to track you across other companies’ apps.
  • You can access, correct, delete your data, and opt out of marketing communications. You can ask us to delete your face profile at any time.
  • We take reasonable security measures but cannot guarantee absolute security.
  • If you’re under 16 (or the local age of consent), please get a parent/guardian’s consent before sharing personal data.

2. Who we are

TT Stars is an application/service that helps players, coaches, academies, and tournament organizers manage training, matches, leagues, live streams, and player analytics. If you need to contact us about privacy, email: support@ttstars.com

3. Information we collect

We collect the following categories of information when you use TT Stars:

A. Personal information you provide
  • Full name, username, email address, phone number
  • Profile photo and bio
  • Date of birth
  • Address or academy location (for registration or invoicing)
  • Documents you upload (ID, Coaching Certificates)
B. Content and activity
  • Match scores, rankings, match history, league and tournament entries
  • Practice session logs, coaching notes, training schedules
  • Uploaded photos
C. Location information (when you allow it)
  • Precise location (GPS / device location), while the app is in use only — we do not request continuous background location tracking.
  • Used when an organizer sets a tournament venue pin on the map (including “use my location” and address search), and when a player self check-ins / reports at the venue so we can confirm they are within the tournament’s allowed check-in radius.
  • Tournament venue coordinates (latitude/longitude) and related address text selected for a tournament may be stored with that tournament.
  • For venue self check-in, we may store the reported coordinates and approximate distance from the venue pin as part of the check-in record (for verification and audit).
  • Location access is optional. If you deny permission, you can still use most of the app; some venue features may be limited (for example, self check-in that requires being at the venue). You can change permission anytime in your device settings.
D. Technical and usage data
  • Device identifiers, IP address, device model, OS version
  • App usage logs, performance data, crash reports
  • Analytics data (pages/screens you view, features used, time spent)
  • API usage sent from our servers to Google Analytics 4: the feature or endpoint used, response status, duration, your account user id, and the app device id. This is for product analytics only. We do not send advertising IDs, and we do not use this data for advertising.
E. Cookies & similar technologies
  • Cookies, local storage, and identifiers for analytics, functional settings, and advertising if applicable.
F. Face and biometric information (optional)

If an academy enrolls you for facial attendance, we collect face information as described in section 7. This is separate from a normal profile photo. You can use TT Stars without enrolling a face.

4. How we use your information

We use your data to:

  • Provide and operate the Service (account creation, match scheduling, results)
  • Enable features (analytics, leaderboards)
  • Provide map-based tournament venue selection and venue check-in / presence verification (only when you use those features and grant location permission where required)
  • Communicate with you (notifications, confirmations, support)
  • Improve and personalize the Service (product development and analytics)
  • Recognize an enrolled player for academy attendance check-in and check-out, using the face profile described in section 7
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

We may also use aggregated or de-identified information for research and product improvements.

5. Legal bases for processing (where applicable: GDPR)

Where applicable, we rely on:

  • Contract performance (to provide the Service you requested)
  • Explicit consent, for face templates and other biometric information used for academy attendance (you, or a parent or guardian for a minor, may withdraw this consent by asking us to delete the face profile)
  • Legitimate interests (fraud prevention, app improvement)
  • Legal obligations (compliance with laws or court orders)

6. Sharing and disclosures

We may share your information with:

  • Academies and organizers: if you sign up for an academy or tournament, basic registration details (name, contact, category) will be shared with the relevant academy/organizer. Organizers may also see venue check-in status and related verification details for participants in their tournaments.
  • Other users: information you choose to share publicly (profile, match results, leaderboard position). Tournament venue location (city/address and map pin chosen by the organizer) may be shown as part of public tournament information.
  • Service providers — maps and places: when you use map search, map display, or location-assisted venue features, map queries and related technical data may be processed by Google Maps Platform / Google Places (or similar providers) under their terms and privacy policies, solely to provide those features.
  • Service providers — analytics: our servers send API usage, your account user id, and the app device id to Google Analytics 4 (Google) for product analytics only. We do not send advertising IDs, and we do not use this data for advertising.
  • Face data: we do not sell face photos, face templates, or other biometric information, and we do not share them for advertising, marketing, or tracking across other companies’ apps or websites. Authorized staff of an academy you belong to may use your face profile only to mark your attendance at that academy. Cloud providers that host our database and image storage process this data only on our instructions to provide the Service. See section 7.
  • Law & safety: to comply with legal processes or to protect rights, property or safety.
  • Business transfers: in the event of a merger, acquisition, or sale of assets — with notice and contractual protections.

We do not sell personal information for monetary consideration. If your local law defines "sale" differently, we will honor your rights under applicable law.

7. Face recognition and biometric information

TT Stars offers optional facial attendance for academies. This feature uses the device camera to capture face photos and turns them into a face template so the academy can recognize an enrolled player at check-in and check-out. It does not use Apple Face ID, Android face unlock, or the biometric credentials stored on your device.

What we collect
  • Face photos captured with the camera while an authorized academy staff member enrolls you, or while the attendance kiosk scans a face to identify you
  • A numerical face template (an embedding) created from those photos, stored on your TT Stars user profile
  • A face thumbnail saved with that profile so staff can see that a face is enrolled

After the face template is created, we do not keep every enrollment photo. We keep the thumbnail and the template. Photos taken only to identify you at the kiosk are used for that match and are not added to your profile as a new photo album.

Why we collect it
  • To enroll a player for facial attendance at an academy
  • To recognize that player at check-in and check-out and record attendance
  • To reuse the same face profile if you join another TT Stars academy, so you do not have to enroll again

We do not use face photos, thumbnails, or face templates for advertising, marketing, profiling for ads, or to track you across apps and websites owned by other companies. We do not sell this information. We do not use it to train public or third-party artificial-intelligence models. We do not use it to sign you in to TT Stars. If we later offer face-based sign-in, we will ask for your consent before using your face profile for that purpose and we will update this policy first.

Consent and who may enroll a face

Face enrollment is optional. You can use TT Stars, including academy features that do not need facial attendance, without providing a face. Enrollment is done by authorized academy staff while you are present, using photos captured for this purpose. By taking part in enrollment, you consent to the collection and use described in this section.

If the player is under 18, or under the age of consent where they live, a parent or guardian must consent before a face is enrolled. Academy staff must not enroll a minor’s face without that consent. A parent or guardian may refuse enrollment or ask us to delete the face profile.

Who can access it
  • Authorized staff of an academy you belong to, only to enroll, remove, or use the face profile for that academy’s attendance
  • TT Stars personnel and systems that operate the Service, only as needed to store the profile, create the template, and match a scan to an enrolled player at that academy
  • Infrastructure providers that host our database and file storage, only to store the data on our behalf and not for their own purposes

Your face thumbnail and face template are not shown on public profiles, leaderboards, or to other players. A match at an academy is limited to players of that academy. Leaving an academy does not by itself delete the face profile, because the profile belongs to your user account and may be used if you join another academy.

How long we keep it, and how to delete it

We keep the face thumbnail and face template until you delete them, an authorized academy staff member removes the face profile, or you delete your TT Stars account. You may withdraw consent at any time by asking the academy to remove the face profile or by emailing support@ttstars.com. We will delete the face thumbnail and face template from our active systems within a reasonable period, unless we must keep a limited record to meet a legal obligation or resolve a security incident. Attendance history (such as the date and time you were checked in) may remain without the face image or face template.

8. Location permissions and your choices

On mobile devices, TT Stars may request location access while using the app (for example, “When In Use” on iOS / foreground location on Android). We use this for:

  • Helping organizers place or confirm a tournament venue on a map
  • Helping players search for a venue address
  • Verifying that a player is near the tournament venue when they self report / check in (within a distance configured for that tournament)

We do not use your location for advertising, and we do not track your location in the background for these features. Staff/organizer actions that report another player’s venue status do not require the staff member’s GPS for that player.

You can deny or revoke location permission in your device settings. Denying permission does not prevent general use of TT Stars, but venue self check-in and automatic “use my location” on the map may not work until permission is granted.

9. Data retention

We retain your personal information as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymize it.

Specific retention periods (examples):

  • Account data: until account deletion
  • Face thumbnail and face template: until you or authorized academy staff delete the face profile, or until you delete your account, as described in section 7.
  • Transaction records: 7 years for tax and accounting purposes.
  • Tournament venue coordinates and venue check-in records (including reported location samples used for verification): retained while the tournament record is kept for the Service, then deleted or anonymized with related tournament data, unless a longer period is required by law.

10. Your rights and choices

Depending on your location you may have rights to:

  • Access the personal data we hold about you.
  • Correct or update inaccurate data.
  • Delete your personal data (account deletion).
  • Export your data (data portability).
  • Restrict or object to processing (where applicable).
  • Withdraw consent for marketing at any time.
  • Withdraw consent for facial attendance and ask us to delete your face thumbnail and face template, without deleting the rest of your account.
  • Opt out of targeted advertising (where applicable).

To exercise these rights, contact support@ttstars.com or use the in-app settings. We may need to verify your identity before fulfilling requests.

11. Security

We use administrative, technical, and physical measures to protect personal data (encryption in transit, access controls, regular security assessments). However, no system is completely secure. If a data breach affects your personal data, we will follow applicable breach notification laws.

12. Children's privacy

TT Stars is not intended for children below the age of consent in your jurisdiction (commonly 13–16). If you are under that age, please get a parent or guardian's permission before using the Service. If we learn we collected personal data from a child without required consent, we will promptly delete it. Face enrollment of a player under 18 requires consent from a parent or guardian. We will delete a minor’s face thumbnail and face template when a parent or guardian asks us to, or when we learn it was collected without that consent.

13. International transfers

TT Stars may store and process data in countries outside your home jurisdiction. When we transfer data internationally, we use appropriate safeguards (contracts, approved frameworks) to protect your data in accordance with applicable law.

14. Changes to this policy

We may update this Privacy Policy to reflect changes in our practices or legal requirements. We'll post the updated policy in the App with a new effective date. For material changes, we will notify you by email or in-app notification.
